Report builder Tenants
After enabling Shared space, users can create reports that are accessible across all tenants. These shared reports will be listed on the custom reports page in all tenants and marked with a "Shared space" label.
This feature enables users to utilise the same report definition site-wide, eliminating the need to duplicate the reports across different tenants. Additionally, it facilitates the creation of cross-tenant reports.
When a shared report is viewed from within a specific tenant, it will only display the users and entities from this tenant. Conversely, when viewed from the Shared space, the report will show information from all tenants.
Furthermore, reports in the shared space can either be shared with all tenants or restricted to users who have access to the shared space, allowing for controlles access and collaboration.

To create a shared report, first switch to Shared space using the tenant switch dropdown in the navigation bar. Once you are in the Shared space, navigate to the Report Builder in the Workplace launcher and create a new report you normally would.
Reports created in Shared space include all the features found in non-shared reports, such as custom fields, audiences and schedules. However, there are two key differences when working with shared reports compared to standard tenant reports:
- Available in all tenants setting: If enabled, the report will be made available to all tenants. If it is not enabled, the report will only be available within the shared space. This is indicated by the Shared space indicator in the list of all reports.
- Audience types: Some audience types may not be available in the shared space.
Tenant fields
Most Workplace tools contain a Tenant name field that can be accessed via the report builder. It can be used to show the tenant in the report, but also as a condition or filter.

In conditions and filters, there are a number of additional tenant-specific options:
- Tenant name: Name of the tenant the tool belongs too
- Tenant name (including no tenant): Same as Tenant name only really applicable for shared tenant entities. It is meant for reports where a record may not belong to any tenant.
- Tenant has category: Indicates whether the entity has been associated with a category (programs and certifications only)
- Default tenant: Whether the entity belongs to the default tenant of the system.

Report builder and secondary tenants
By default, users are included in reports irrespective of whether the reported entity is associated with their main tenant or a secondary tenant.
To restrict reports to a specific tenant, apply the Tenant condition under Conditions (see the previous section).
