Note: This role requires the [[Data privacy plugin]] to be installed on the site. The Data privacy plugin requires Moodle 3.4.2 or later and will be integrated in the Moodle 3.5 release in May 2018.

A Privacy officer can respond to data requests and manage the data registry.

Role set-up

  1. Go to 'Define roles' in the Site administration. ( Users --> Permissions --> Define Roles)
  2. Click the button "Add a new role".
  3. Leave 'Use role or archetype' set to 'No role' and click the continue button.
  4. Give the role a name such as 'Privacy officer', short name and description.
  5. For context types where this role may be assigned, tick system. <-- this is essential and easily missed.
  6. Enter dataprivacy in the filter box, then allow the capabilities tool/dataprivacy:managedataregistry and tool/dataprivacy:managedatarequests, and if necessary tool/dataprivacy:makedatarequestsforchildren.
  7. Allow more capabilities as follows: moodle/site:configview, moodle/category:viewhiddencategories, moodle/course:viewhiddencourses, moodle/course:viewhiddenactivities, moodle/course:view.
  8. Optionally, add capabilities to allow Privacy officers to view and agree to policies on behalf of minors (after receiving permission from guardians): tool/policy:acceptbehalf and tool/policy:viewacceptances
  9. Click the button "Create this role".

  1. Go to 'Privacy settings' in the Site administration. (Users --> Privacy and policies --> Privacy settings)
  2. Click to select the Privacy officer in the Privacy officer role mapping setting.
  3. Save changes.
